Position Overview

We are currently accepting resumes for the position of Project Coordinator (ERP), who will play a crucial role in leading the successful execution of ERP program of work at the City of Guelph. This position involves project management duties including coordinating project activities, managing schedules, monitoring project budgets, creating and maintaining project management artifacts. The Project Coordinator will report to and work closely with the Manager, ERP, in support of the ERP Program Team, and stakeholders. The ERP Project Team is tasked with enhancements to the City’s existing JDE ERP system as well as the implementation of a new EAM system that is fully integrated with the ERP platform.

 

Key duties and responsibilities

  • Work collaboratively with internal clients, team members and external consultants to develop project charters, manage project schedules, budgets, resources, and generate status reports and presentations.
  • Take ownership of project artifacts including action logs, decisions logs, risk logs, and project plans.
  • Manage the successful delivery of project components to ensure they are on time, to budget and within quality and scope.
  • Develop and maintain risk mitigation plans.
  • Monitor project performance in accordance with the City of Guelph’s project portfolio management methodology processes.
  • Coordinate project activities, including business process workshops, user acceptance testing and training.
  • Take ownership of Change Management and Communications Management for the ERP Program.
  • Learn the City’s ERP and EAM Platforms to become a subject matter expert for City users.
  • Work in conjunction with ERP Team members and other technical staff to isolate and resolve technical and process issues in a timely manner.
  • Develop training materials, software support policies and a software support knowledgebase.
  • Perform training on the ERP software components on an as needed basis.
  • Provide front-line support to ERP users on an as needed basis.
  • Travel to various city work locations as needed to fulfill the duties listed above.
  • Perform other related duties as assigned.

Qualifications and requirements

  • Experience related to the duties above, typically obtained through post-secondary education in a related field and experience coordinating projects related to large scale user-centric software implementations. An equivalent combination of education and experience would be considered.
  • Proficiency in project management software and tools. Microsoft Project and Eclipse are preferred.
  • Change Management experience preferably with Prosci methodologies.
  • Demonstrated ability to influence stakeholders.
  • A self-starter with good problem-solving skills.
  • Excellent communication and interpersonal skills with the ability to work with and support a variety of stakeholders including management, staff and vendors.
  • Ability to work effectively in a team environment and manage multiple priorities to meet deadlines.
  • Experience working in a municipal environment is an asset.
  • CAPM or similar designation is an asset.
  • Project Management certification would be considered an asset.
  • Experience with Enterprise Asset Management (EAM) implementations is an asset.
  • Experience with JD Edwards, Maximo, ArcGIS and graphic and web content authoring software would be considered an asset.

Hours of work

35 hours per week, Monday to Friday, between the hours of 8:30 a.m and 4:30 p.m. This position is eligible for hybrid and flexible work arrangement options (as per current corporate policy).

 

Pay/Salary

Non-Union Grade 3: $36.61 - $45.76 per hour
