Position Overview

Resumes are being accepted for the position of Council Constituency Assistant within the Mayor and Council Office. Reporting to the City Clerk, from an administrative perspective, but supporting the day-to-day work of the City’s twelve (12) elected City Councillors, the City of Guelph is seeking a dynamic and highly organized Council Constituency Assistant to provide administrative and constituent support for Guelph’s City Councillors. In this role, you will effectively and efficiently support the City of Guelph’s Councillors and their constituencies by prioritizing and streamlining administrative tasks.


Key duties and responsibilities

  • Provides routine administrative support for Councillors that may include preparing reports, documentation, and handling of sensitive and confidential matters.
  • Schedule and coordinate meetings, events and appointments for Councillors. Greet visitors at the Council Offices, located at Guelph City Hall, as needed.
  • Handle travel arrangements, associated bookings, and reimbursements for Councillors as required.
  • Supports in the preparation and distribution of constituency newsletters and supports with Councillor social media where appropriate.
  • Supports in gathering basic research of community matters affecting the constituency including community issues, municipal bylaws, or council agenda items.
  • Stays informed about municipal policies, programs, and community issues.
  • Supports with scheduling, development of agenda, coordination of speakers, and preparation of materials and communications for ward and budget Town Halls.
  • Organizes and attends community events, town halls and public consultations.
  • Prepares and co-ordinates general presentation and briefing materials for meetings of community committees and community events.
  • Works closely with other City staff, departments, and external stakeholders to address constituent needs and support City initiatives.
  • Collaborates with the Executive Assistant and Communications Advisor to the Mayor to share information and ensure alignment in work tasks.
  • Ensures the proper filing and storage of documents and files in electronic and/or hard copy format.
  • Monitors the Councillor’s office budget and ensures that expenditures are controlled and maintained within approved limits and does so in consultation with the City Clerk.
  • Monitor inventory and order supplies for Councillor’s office as needed.
  • Completes special assignments and other duties as assigned.

Qualifications and requirements

  • Completion of post-secondary education in Political Science, Public Administration, Communications, or a related field.
  • Minimum 2 years’ experience in an administrative role providing support to a team in a corporate environment.
  • Knowledge of municipal government processes, policies, and services.
  • Excellent organizational and problem-solving skills with the ability to manage multiple tasks and priorities.
  • A team player with excellent interpersonal skills.
  • Excellent communications skills (both oral and written) with the ability to communicate with all levels of staff, stakeholders and the general public.
  • Ability to respect and maintain a high level of confidentiality with sensitive issues.
  • Ability to prepare and deliver reports and presentations.
  • Experience in Accessibility for Ontarians with Disabilities (AODA) requirements, and public report development.
  • Advanced Microsoft Office skills (Word, Excel, PowerPoint and Outlook).
  • Flexible, adaptable with the ability to work efficiently, independently and with minimal supervision.
  • Ability to work flexible hours, including evenings and weekends, as required.
  • Experience in a public sector or municipal environment is an asset.

Pay/Salary
Non-Union Grade: 2: $59,696.00- $74,620.00
